End-of-Lease Protocol

Giving Notice: Refer to paragraph 4 of your lease to determine the notice provisions. Notice is always effective on the last day of the month and cannot be given less than 30 days in advance. As a result, you will need to give notice no later than the 1st day of the month if you want it to be effective for the last day of that month. (Notice must be given by January 30 for Februay 28 move out since February only has 28 days.)

Example: If your lease ends on April 30 and you don't want to pay rent for May, you must give notice no later than April 1. Notice received after that date will be effective for a move out of May 31 and May rent will be owed.

An effective notice must be in writing. It should also include your forwarding address and the number at which you would like to be notified of showing appointment times.

Showings: Refer to paragraph 14 of your lease for specific provisions. Generally, the home will be marketed and shown for lease during the last 30 days of occupancy. A sign will be placed in the yard and an electronic keybox attached to the property so licensed real estate professionals can access the property and show it to prospective tenants or buyers. During this time you will be required to make the property accessible and have it in decent showing condition. At tenant's discretion, tenant may be present or not present when the property is shown.

Move Out: No later than the effective day of the notice, tenant must have vacated the property with all personal belongings and left the property clean. Carpets are required to be professionally cleaned and the receipt for same presented to PPM along with the keys, garage door openers, pool access keys or cards, mail keys and any other required access devices. These should be turned in at the property management office no later than the effective day of the notice.

Be sure to check the following frequently missed items to avoid deductions:

  • Fireplace is clean
  • Ceiling fans have been cleaned
  • Interior of appliances have been cleaned, oven, microwave, refrigerator, etc.
  • A/C filter has been changed
  • Smoke detectors have working batteries
  • Working light bulbs are present in all fixtures
  • Lawn has been recently mowed and edged
  • Shrubs have been trimmed

Security Deposit Refunds: Refunds will be processed in accordance with the provisions of the lease and sent to the forwarding address provided in the notice no later than 30 days after move out or lease end.
